Dental clinics

Time tracking and leave management for dental clinics

Multiple clinics, part-time schedules and training in one place with health examinations in early access.

The same team, at several addresses and on several schedules

Assistants and receptionists work in more than one clinic, often part-time. Knowing where each person has been, recording training hours and keeping health examinations ends up scattered across paper, emails and spreadsheets.

What the law requires

Record of working time

The employer must keep time records for all employees, including those exempt from set working hours and those who work away from the premises, with start and end times and breaks. The records must be available for immediate inspection and kept for five years. Failing to keep time records is a serious administrative offence, with fines between €612 and €9,690, depending on turnover and the degree of fault.

Article 202 of the Labour Code

40 hours of training per year

Each employee is entitled to a minimum of 40 hours of continuing training per year. In fixed-term contracts lasting three months or more, the minimum is proportional to the length of the contract in that year.

Article 131(2) of the Labour Code, as amended by Law 93/2019

Occupational health examinations

The law provides for pre-employment examinations, periodic examinations (annual for minors and for employees over 50 years of age, and every two years for all others) and occasional examinations, for example on returning after an absence of more than 30 days due to illness or accident. After each examination, a fitness certificate is issued, with no clinical information.

Articles 108 and 110 of Law 102/2009

Holiday map

The holiday map must be drawn up by 15 April and posted in the workplace from 15 April to 31 October.

Article 241(9) of the Labour Code

A summary of the Portuguese Labour Code and, where stated, Law 102/2009. It does not replace the collective agreement for your sector or legal advice.

How TeamYo helps

Free and Pro

Departments and multiple locations

Organise the team by departments and by locations.

Pro plan

GPS clock-in with geofencing by location

Each location can have a clock-in zone, with a radius between 20 metres and 5 kilometres. A clock-in outside the zone is refused. GPS collection and geofencing are switched on in the company settings.

Pro plan

Shift types and split shifts

Create reusable shift types, with one or more blocks on the same day, for example 10am-2pm and 6pm-10pm. The gap in a split shift does not count as an early departure.

Pro plan

Training hours and costs

Training hours per employee, against an annual target you can set to the 40 hours of Article 131(2) of the Labour Code, as amended by Law 93/2019, and of the costs of each training course.

Early access

Medical examinations with fitness certificate

Each employee's medical examinations, with the fitness certificate, in one place.

Free and Pro

Holiday map in PDF and Excel, with reminders

Generate the holiday map in PDF, as a calendar or a list, or in Excel, and send reminders to people who have not yet booked their holidays.

Illustrative example: a group with three clinics

Each clinic is a location with its own clock-in zone. An assistant who works mornings at one clinic and afternoons at another clocks in at each, and the record shows where she has been.

Each employee's training hours are recorded against the annual target, and the holiday map is produced as a PDF or Excel file, ready to post from 15 April.

Frequently asked questions

Are independent contractors included in the time records?

No. The record of working time under Article 202 of the Labour Code applies to employees with an employment contract, not to genuinely independent contractors. Please note: imposing on a contractor start and end times set by the company, and monitoring their attendance as you would an employee's, is one of the indications of an employment contract set out in Article 12 of the Labour Code and may lead the ACT (Portuguese labour inspectorate) or the courts to reclassify the relationship. If in doubt about a specific situation, confirm the position with a lawyer.

Can I have a different clock-in zone at each clinic?

Yes. Each location can have its own clock-in zone, with a radius between 20 metres and 5 kilometres, and a clock-in outside the zone is rejected and recorded.

Does TeamYo store the team's health examinations?

Each employee's medical examinations, with the fitness certificate, are in early access: available to some companies, on request. Contact us to find out more.

How much does it cost?

Leave and absence management is free for up to 5 employees, with no time limit. The digital time clock, shifts and payroll calculations are part of the Pro plan, at €1.70 per employee/month billed annually or €2.00 billed monthly.
